CATALOGING PROCEDURE MANUAL--VOYAGER

SECTION 19, HOLDINGS FIELDS--FIXED-LENGTH DATA ELEMENTS (008 FIELD)--ALL FORMATS

Name in Voyager Cataloging Client Position in MARC 21 Codes Meaning Coding instructions
Date entered 008/00-05 - The date the record entered the database for the first time, in the form year, month, day (yymmdd). Designed to be system supplied; does not appear on labelled display since we cannot edit it; did not function correctly on new records that were added using the 'copy record' command in TAOS; any records that migrated from ORION1 will have 6 blanks here. Export to MELVYL is not driven by this code.
Receipt or acquisition status 008/06 - Receipt or acquisitions status Used in the Library to distinguish between serials and sets being currently received (open entries subject to check-in) and other materials (closed entries).
- - 0 Unknown -
- - 2 Completed Use this code for all of our materials.
Method of acquisition 008/07 - Method of acquisitions -
- - d Deposit -
- - e Exchange -
- - f Reproduction made by Archive (meaning in MARC 21: 'free') Use for materials taped off the air, as well as for reproductions made by the Archive. Beginning in October, 1999, we began coding reproductions made by the Archive as 'f' in order to use a standard code, rather than our previously used local code 'r' which does not function well in ORION2 (causing display problems and the like). The local codes used in ORION 1 to indicate that something was 'taped off the air' (code O, donor code 0992) or 'discarded, unknown owner' (code O, donor code 0994) were changed to blanks in data migration. When a blank Method of acquisition code is encountered in Voyager, check to see if the donor code is 0992 or 0994; if it is, change the Method of acquisition code to f, and make an 866 staff only note to read either $xTaped off the air, or $xDiscarded, unknown owner. Other blanks can be filled in based on the printouts of ORION1 Archive records in the cataloging supervisor's office.
- - g Gift Use for donations and assumed donations. The local code used in ORION 1 to indicate that something was an 'assumed donation' (code A) migrated as blank. When a blank Method of Acquisition code is encountered in ORION2, look in the ORION1 archive file to determine what the code was before migration. If the code was A, code it g in ORION2, and make an 866 staff only note to read $xAssumed donation.
- - p Purchase -
- - u Unknown -
- - z Other Use for local productions.
Expected acquisition end date (yymm) 008/08-11 - Intent to cancel -
- - [4 blanks] No intent to cancel; not applicable. -
General retention policy 008/12 - General retention policy -
- - 8 Permanently retained. -
Specific retention policy - Policy type 008/13 - Specific retention policy type -
- - [1 blank] No specific policy type. Will be coded only for serials in the library.
Specific retention policy - Number of units 008/14 - Specific retention number of units -
- - [1 blank] No specific number of units. Will be coded only for serials in the library.
Specific retention policy - Unit type 008/15 - Specific retention unit type -
- - [1 blank] No specific unit type. Will be coded only for serials in the library.
Completeness 008/16 - Completeness Also code 007/16 for completeness but with the slightly different definition discussed below.
- - 0 Other -
- - 1 Complete Use only for a multipart item that is complete. Mistakenly migrated from ORION1 to TAOS as code 4; in migration from TAOS to Voyager, global update of all multipart items (holdings leader/6, value = v for multipart item) for retrospective records carried out based on correctly coded 007 value, but some are still incorrect; fix as encountered.
- - 2 Incomplete Use only for a multipart item that is missing one or more physical pieces, including cases in which we hold a single reel or other part of a multi-reel film or other multipart item.
- - 4 Not applicable Use for all single part items, including those that are incomplete. Note that here in the holdings 008 field, a serials definition of completeness is employed that differs from the monographic definition of completeness as coded in the 007 field; according to the 007 definition, it would be possible for a single part item to be incomplete.
Number of copies 008/17-19 [3 blanks] Number of copies reported Set as three blanks on conversion. Meant to count number of barcodes attached to holding record, but does not function in Voyager?
Lending policy 008/20 - Lending policy -
- - b Will not lend -
Reproduction policy 008/21 - Reproduction policy -
- - b Will not reproduce -
Language 008/22-24 - Language -
- - [3 blanks] Not supplied "Until we switch to 863-865 fields for holdings, this is the correct value. . . "--Sara Layne's TAOS coding notes.
Separate or composite copy report 008/25 - Separate or composite copy report -
- - 0 Separate copy report "Until we can fully understand the ramifications of this position in the 008, this is the most likely value"--Sara Layne's TAOS coding notes. In TAOS, all of our records had [1 blank] here; this caused display problems, so all blanks were converted to 0 in the TAOS to Voyager migration.
Date of report 008/26-31 - Date of report -
- - Use the inventory date. If there is no date, use six zeroes _ -
