Availability categories are the responsibility of the appropriate archivist;
any questions about them should be taken to that archivist. With one exception
for television as below, cataloging staff should not have to supply availability
notes, and should not do so without consulting the appropriate archivist
on a title by title basis. If inventory forms are received without an
availability status checked, the appropriate archivist should be contacted
and asked to supply this information in the future.
Availability status is basically recorded in 905 $f (as a code) and 852 $b as part of the location code.
Routine notes that translated these codes used to be made in the 845 field, and many still exist in our
records. With the migration to Voyager, we ceased making routine notes. From now on, the 845 field should
contain only unusual information concerning availability that could not be deduced from the three basic
availability codes incorporated into the location codes.

- Withdrawn, Oct. 3, 1987; not appropriate to collection;
donated to Library of Congress.
- Discarded, Oct. 7, 1991; redundant copy; does
not meet collection guidelines.
Do not add the following notes, even when they are checked on an inventory form:
- Study copy. Available for onsite viewing only.
- Research copy. Usually available for onsite viewing; some restrictions may apply.
- Archival copy. Not available for viewing. Contact the Research and Study Center for further information.
- Conservation copy.
- Preservation copy.
