-
--- - $h - "Classification part," i.e. inventory number Place our inventory number in this subfield (either old style or MY number). After a MY number, and separated by a space, include a letter code for the Motion Picture Collection (M) or the Television Collection (T). For MY numbers in use at ARSC, all leading zeroes should be dropped. Spans of MY numbers may be input for materials held at ARSC or Commercial Services (Rosa is gradually eliminating these from materials held at SRLF). If you discover a duplicate MY number that is still being used as a physical location device at either ARSC or in Commercial Services, report it to the ARSC or Commercial Services staff and have them correct the duplication. All other duplication in inventory numbers should be ignored, including duplicate MY numbers that are no longer being used as a physical location device. See Section 34.7, MY system location numbers for more information on MY numbers.

EXAMPLES:

  • M10592 (old style inventory number--Motion Picture Collection)
  • T16778 (old style inventory number--Television Collection)
  • VA1319 T (MY number--both an inventory number and a location number; includes the information that this item is located at ARSC and is part of the Television Collection; eventually its location number function will be taken over by a barcode in the 876 $p subfield)
  • XFA1278 M (MY number--both an inventory number and a location number; includes the information that this item is located in the Preservation Vault at SRLF and is part of the Motion Picture Collection; eventually its location number function will be taken over by a barcode in the 876 $p subfield)
  • XFE1432 -1435 M (span of MY numbers) (As of May, 2000, such spans of MY numbers should not be appearing on newly added multipart holdings that will be located at SRLF; instead, Rosa will be converting such spans to single MY numbers, using the first number in the span as the inventory number for each part of the multipart holding.)

--- - $q - Piece physical condition See below.
--- - $z - Public note Put the word 'Internal' here when a bibliographic record has no holding but this one and it is a dummy holding (not a real holding) added to cause retention of the bib. record until such time as we acquire a holding of that title.

22.1, CONDITION NOTES TO GO IN $Q SUBFIELD

Generally, note only deviations from good condition; i.e., don't put in 'good', but put in 'warped'; don't put in 'complete', but put in 'incomplete.' (See AMIM 7B12a.) However, when the staff has specifically noted that an item is in particularly good condition, go ahead and put the note here. It is all right to put in a booth report even when it notes good condition. When an item is incomplete, always input a note indicating this, even when it is apparent from the physical description, so it can eventually be seen on the brief title display (not yet designed to our specifications).
