VOYAGER ITEM RECORD


ITEM RECORD

An item record should be added for each barcode added to a multi-piece item (e.g. a 13-reel film), with the inventory number and a reel count in the Enum box to identify which piece has which barcode. Make sure the item records display in ascending order, with r1 first, r2 second, etc.

There is no requirement in Voyager that you must add item records to every holdings record. For the most part, we will add item records only when the items are barcoded and are located at SRLF. However, it is possible to add item records that do not have barcodes if desired, e.g. to record enumeration (r1, r2, etc.), item-specific notes, and the like.

All items that have been moved out to the Preservation Center in Santa Clarita will be barcoded only in the Processing Database, not in Voyager. This includes all of our nitrate collection and all safety and video items that have barcodes beginning with SV.

All materials in the Preservation Vault at SRLF will be barcoded only in the Preservation Department's database, not in Voyager.

 Item Type  Select one of the following Item Type codes:
  • arch = archival copy
  • viewp = study copy
  • viewr = research copy
  • withdrawn = withdrawn
 Enum:  For multi-piece items only,type in a piece identifier (to identify the barcode) consisting of the inventory number and the reel or cassette number associated with each barcode.

Piece identifiers

  • c [for cassette]
  • can [for cans]
  • d [for disc, including sound recording discs and videodiscs]
  • r [for reel, including videoreels and audiotape reels]
  • roll [for rolls]

EXAMPLE: M32244 r1

Do not add more than one item record plus different 'Enum' data when there is just a single barcode, even if the physical description indicates multiple pieces. For example, for six 400 ft. rolls in one 2000 ft. can, described as 6 reels of 11 (r1,4,6,8,10-11) in the physical description, item record containing the single barcode for the 2000 ft. can should have no associated 'Enum' data.
