Todd maintains these codes for the UCLA Film & Television Archive, and submits requests for new SPAC identifiers directly to Andy Kohler, rather than through the AUL, as Library staff does. However, we should not create new SPAC identifiers that conflict with those established by the Library and listed at the above web site. DO NOT USE any SPAC codes found in the Processing Database that are not found at the above site!!!

In the rare event that a SPAC code needs to be removed, it should be removed from all of our bibliographic and holdings records, and then Andy Kohler should be asked to remove it from the list at the above site.

At the time of Voyager implementation, holdings records were not yet searchable in the OPAC, which meant that SPAC codes would not have been searchable in the OPAC if they had not been temporarily duplicated in the bibliographic records. In late 2006, holdings searching became available in the OPAC, so at some point, bibliographic 901 fields will probably be removed.

UCLA Libraries policy: The Special Collections and Archives Code (SPAC) - formerly the SAC code in ORION1 - identifies a collection or archive to which a title belongs. It is used to retrieve individual titles of a named collection which are not necessarily shelved together as one collection by the holding library.* This code is to be used only for special and archival collections, and is typically assigned at the time a collection endowment or other special fund is created, a gift or collection is received, or an existing collection is processed. This code is not intended for temporary control of material. The identifier and the full name of the collection are indexed for retrieval and display in the bibliographic record in the OPAC, and in both the bibliographic and holdings records in the staff clients. SPAC data is currently repeated in both the bibliographic and holdings records due to limitations of our current system. We plan to remove the SPAC data from bibliographic records when the SPAC data in holdings records is adequately indexed and displayed in the OPAC.

Additional note on use of 901:

If a single holdings or bibliographic record represents material that has more than one SPAC assigned to it, each SPAC should be represented by its own 901 field.

*Materials that do not constitute a named collection but are kept physically together within a unit may be assigned a location code rather than a SPAC code.
