SECTION 23, HOLDINGS FIELDS--866--TEXTUAL HOLDINGS--BASIC BIBLIOGRAPHIC UNIT

23.1, PUBLIC NOTES TO GO IN $Z SUBFIELDS

Put notes that apply to the holding as a whole, and notes that apply to an attached item in this subfield.

Please input notes in the following order, placing each different type of note into a separate $z subfield:

  1. 23.1.1, PART/ELEMENT:

    Add part/element note here, preceded by 'PART/ELEMENT:'.

  2. 23.1.2, NOTES:

    Add important miscellaneous notes here, preceded by 'NOTES:'.

    EXAMPLES:

    Add additional physical description note here, preceded by 'ADDITIONAL PHYSICAL DESCRIPTION:'.

    Include here notes on physical description, e.g. notes on the sound track, the color, the projection requirements, etc. (see AMIM 7B12.)

    Add less important miscellaneous notes here, preceded by 'NOTES:'.

    Collection and source of acquisition notes (AMIM 7B28, 7B31) may be made in this area. Do not routinely make these notes. However, if a donor wishes to have his or her generosity publicized, an appropriate note may be placed in this area.

  5. 23.1.5, PRESERVATION:

    Add preservation note here, preceded by 'PRESERVATION:'.

    Preservation notes which apply to the restored version as a whole should be placed in the 599 field. (See SECTION 5.7.15, PRESERVATION NOTES.) Use this field only for notes which apply to one copy but not to all.

  6. 23.1.6, OLD INVENTORY NUMBER:

    If a change form is received for an inventory number, place the old inventory number here; also index it in the 916 field (see SECTION 29, HOLDINGS FIELDS--916).

  7. 23.1.7, LOCATION:

    Add location number note here if the item is still being located using a location number that is not either a barcode (876 $p) or a MY number inventory number that doubles as a location number (852 $h); precede the old-style location number by 'LOCATION:'. On migrated records, MY numbers will appear in both the 852 $h and here. Please do not duplicate the entry of MY numbers in this way on any newly input records, and, as encountered, delete the subfield when it duplicates the 852 $h.

    For 'on-reel-with' items (one item with one barcode, but multiple bibliographic records), you will encounter many records created in TAOS (which did not allow duplicate barcodes) that have the barcode in an item record only on the first holdings record, with the rest of the holdings records having the barcode in 866 $z LOCATION: and in the 916 field. When these are encountered, edit them to add all barcodes to all item records. Voyager now allows duplicate barcodes for this type of situation.

    In cases in which two different physical items, such as picture and track, are stored together in one can and there is more than one reel of each, you will encounter many records created in TAOS (which did not allow duplicate barcodes) that have the barcode in an item record only on the first holdings record, e.g. the picture, with the rest of the holdings records having the barcode in 866 $z LOCATION: and in the 916 field. When these are encountered, edit them to add all barcodes to all item records. Voyager now allows duplicate barcodes for this type of situation.

    Some SRLF items inventoried in the transition period when we were waiting for barcodes to arrive were inventoried with 'TBA' (meaning 'to be assigned') in this area; eventually all these should be converted to barcodes.

    23.2, STAFF ONLY NOTES TO GO IN $X SUBFIELD

    Place the $x subfield after all $z subfields in the 866 field. All staff only notes should be placed into a single $x subfield.

    In December, 2000, Supervisors approved placing location information for materials kept in offices here only with no corresponding 866 LOCATION: note.

    For reproduction notes, see also Section 20, Common phrases to use to describe the reproduction source and Section 20, Current transfer facilities For video to video transfers, it is not necessary to name a machine, but it can be helpful to indicate which machine was used for a film transfer, e.g. Archive film chain, Archive telecine, CTM, or Sniper.
